Why ParetoPost™ ?

All companies need to send business documents to their customers or partners, whether it’s an invoice, delivery note, or perhaps an urgent purchase order. Traditionally all of these business documents were printed, very often on expensive pre-printed stationery and in the case of invoices and statements most likely delivered by post. Not any more – companies now want the flexibility to deliver documents via email, fax, web portal, or when forced to, by post.

ParetoPost™ provides an assured method to deliver electronic documents instantly to your customers via a secure web portal.  It’s great for the guaranteed delivery of:

Unlike email, you’ll know who has viewed the document, the date and time that it was read, and lots more useful information. How does the customer retrieve a document? 

An email is sent to a recipient containing a URL for the delivered document – for example:

When the recipient clicks on the link, they can then logon to a web portal to gain access to the document.

 

Once logged in, the user can see information relating to the documents. The user then has the ability to view newly created documents or documents that they have already viewed.

When the view image link is selected, the recipient will then see the document image (e.g. an invoice). On the left is information about the document, preconfigured message drop-downs and user added notes – all of these elements are configurable. For example, you may opt to have only two preconfigured messages i.e. - ‘Accept’ or ‘Reject’. We can also add payment options to enable the recipient to pay on-line – e.g. PayPal. On the right is a view of the document – a copy of this document can be downloaded locally.

Clicking on the Home button takes you to a list of new documents (i.e. ones not looked at) and ones previously viewed. Documents are retained for a predefined period (e.g. 90 days), then hidden from view – after a further period of time (e.g. 60 days), the documents are automatically deleted.

Interfacing to ERP Systems

We’ve engineered the interface so it’s really simple to integrate with your existing ERP processes. You can install and host ParetoPost™ on you own web-server, or we can provide a SaaS model.

Documents are uploaded by submitting a PDF image and an XML file into a watch folder on the DDP server. The XML file contains all of the information about the document and the intended recipient. The PDF image and XML file can normally be generated by a backend business system, or automated by using our Formate output management software.
